Information for Parents
Be sure to check your area cast information page on a regular basis. Rehearsal schedules are subject to change. Depending on how rehearsals are going, the directors may need actors there that were not originally scheduled to be there. Costume information and other cast events will also be posted there.
There are many opportunities for you as a parent, to get involved in CYT. As a parent of a cast member, you are expected to participate by working on one of the parent committees responsible for the production. Working on a committee allows you to be involved not only in an activity with your child, but also to develop relationships with other parents.
CYT is a non-profit organization and so there is always an opportunity to make tax-deductible contributions of items for the play, office equipment, tools, and money.

Parent Committee List
Participating in a CYT production is a privilege and an extra activity beyond CYT classes. To put on a production, we need all parents to help by being involved on a parent committee. Below are descriptions and approximate time commitments to help you decide where your gifts will best be used!
Parent committees are formed by the parents of the children in each production. The committees work with the director to develop sets, props, programs, advertising and doing many other things to put the end product together.

Backstage:
Assist crew of both students and adults with moving sets on and off the stage during dress rehearsal and productions. Maintain crowd control; able to keep kids quiet and orderly backstage during show; team builder; organized, flexible and cool under pressure. Looks good in basic black! Timeframe: Dress rehearsal week and all shows; can divide up time among committee members.
Costumes:
Assist the head of the committee in designing and fitting costumes for each character in the production. Enjoy thrift shopping, sewing and/or making alterations. Sewing skills are a definite plus! Timeframe: Before the show gathering and making costumes, during the show any upkeep or replacements. After the show, collect all costumes and launder washables. “A costumed show is a labor of love and a joy to behold”.
Green Room:
Create simple activities for actors and maintain a quiet, orderly Green Room. Make musical synopsis, clean-up charts and circulate supervision sheet to make sure each rehearsal and show is covered. Need to be a good disciplinarian-maintain quiet and order between scenes. Timeframe: Dress rehearsal week and all shows, may divide up time among committee members.
House Committee:
Enjoy dealing with people and money. Sell tickets, set up ushers for all performances, responsible for picking up tickets at CYT office. Oversee care and upkeep of the seating and lobby areas of the theater. Timeframe: During the show; can split up time among committee members.
Makeup/Hair:
Attend all dress rehearsals and all performances to assist with applying Makeup. Approximately 5-7 times you will be asked to stay in the green room for the entire dress rehearsal or performance to be available for makeup changes or assistance and to put away makeup supplies at the end of the rehearsal/show. It is not necessary to have previous experience with stage makeup. The head of the committee will train the other members on technique prior to dress week. Timeframe: Dress rehearsal week and all shows; can divide up time among committee members.
Program:
Pre-production: Typesetting, layout, editing, proofing and compilation of all information are involved in designing the program. An eye for details and computer skills (i.e. Publisher, Page Maker, etc.) are helpful. This job requires access to a computer. You will also generate ad sales, past and new advertisers, and coordinate all advertising contracts (working with PR committee). Post-production: Follow-up mailing to all advertisers with letter and sample of program.
Props:
Collect all props needed from the Production’s prop list. Enjoy frequenting garage sales and thrift stores searching for treasures or to be creative at making props. Supervise prop table during dress rehearsals and shows. Timeframe: Before show searching; dress rehearsal week and during show checking to make sure props are there and in order, can divide up time among committee members. After show return props to CYT office or appropriate owners.
Public Relations :
Help distribute fliers, call contacts and publicize the show in the community (as well as program ad information). Supervise the publicity table and student tours during the shows. Create a picture board for the lobby. Timeframe: Before the show counting and delivering fliers; during show, can divide up time among committee members. Generate new advertisers for program. One member works with Managing Director to facilitate press release: takes pictures for program, contacts newspaper / radio, etc.
Refreshments:
Responsible for purchasing refreshments and supplies at wholesale and selling food items at public performances. Timeframe: Before show to purchase items; before show and at intermission setting up and cleaning up refreshment area as well as selling refreshments. Committee will be composed of a smaller group than other committees.
Sets:
Build, borrow, buy or rent any sets needed for the production. Work with the director on obtaining a list of scenes to be built. Unload sets at the theater and set up. Make any necessary repairs to the set during the run of the show. Timeframe: Build and create sets before run of show, help set up during dress rehearsal week; take down sets and return to CYT storage after last performance.
Souvenirs/Special Activities:
Plan and supervise Drawing, Souvenir Booth, Cast Flowers, and additional activities as selected to raise money for CYT for sound equipment, Financial Aide for CYT students, and other worthy endeavors. Timeframe: Before and during show to create and implement fundraisers.
Strike Party:
Organize a time of celebration for the cast members and their families for after the production. Includes locating a facility, planning catering and decoration. If you enjoy planning parties, this is for you.
Technical:
Plan and supervise lighting and sound during the run of the show. The committee head(s) will train members prior to dress week. Obtain any equipment needed for the technical side of the production. Timeframe: During dress rehearsals and shows.
Production Chairperson and Co-chair:
Oversee all of the above committees. Work closely with the Area Coordinator and the Director in all aspects of the show production. Someone who enjoys all aspects of theater (especially the process), works well with people, and is organized. Co-chair is mainly responsible for organizing the strike party (cast party). Timeframe: During rehearsals through end of show.
Prayer Team:
Meet at some scheduled rehearsals & shows as a team to pray for specific needs during the production. (This is a secondary committee in addition to your commitment to one of the committees above.)
Note:
*Each committee must have a Head to oversee the committee and delegate and help execute responsibilities. While the Committee Head is responsible for organizing the committee and conducting sign-ups, each member is required to read the manual. The Committee Head makes sure that all aspects of the job have been assigned and are completed. (EXTRA HOURS REQUIRED)
